Accounts Payable Clerk/Payroll Administrator


The Huntsman Marine Science Centre is an independent federally registered not-for-profit education and research institution located along the shore of the Bay of Fundy in St. Andrews, NB. Our mission is to inspire aquatic stewardship through education programming and advance marine science through collaborative research projects.


We are seeking a highly motivated, detail-oriented individual to fill an Accounts Payable Clerk/Payroll Administrator position who will report to the Manager of Finance & Administration and work with a dynamic team of professionals. The successful individual will serve as the Huntsman primary point of contact to prepare day-to-day financial transactions relating to accounts payable data and ensure accurate and timely processing of payroll for Huntsman Marine employees.

Accounts Payable:

  • Analyze, classify, and process manual & purchase order vendor invoices and apply tax rules to ensure accurate payment processing.

  • Verify and investigate discrepancies by reconciling vendor accounts and monthly vendor statements.

  • Process employee expense claims, company credit card transactions and petty cash transactions.

  • Prepare and review payment registers, process manual checks and online bill payments.

  • Respond to and follow up on vendor inquiries via phone and email in a timely and professional manner.

  • Assist in month-end and year-end closing activities.

  • Provide support to other finance and accounting functions as necessary.

  • Other administrative duties as required.



  • Process payroll for employees and ensure accurate calculation of wages, deductions, and taxes.

  • Reconcile payroll discrepancies and resolve any issues or discrepancies.

  • Prepare and distribute payroll through an EFT single file transfer and email direct deposit statements to employees.

  • Remit bi-monthly Source Deductions.

  • Maintain employee records and update changes in employment status, tax withholding, direct deposit information and all other employee profile information.

  • Collaborate with HR staff to ensure accurate employee data and compliance with company policies and procedures.

  • Other administrative duties as required.




  • Post Secondary Diploma with a focus in Business Administration or related field.

  • 3+ years of experience in a similar role.

  • Experience using accounts payable and payroll software. Knowledge of Adagio Payables and PayDirt Payroll would be an asset but not necessary.

  • Proficiency in Microsoft Office applications, particularly Excel and Outlook.

  • Strong numerical and data entry skills with a high level of accuracy and attention to detail.

  • Excellent organizational skills and time management abilities with the ability to meet deadlines consistently.

  • Effective communication skills, both verbal and written, with the ability to collaborate with cross-functional teams.

  • Ability to handle sensitive and confidential information with integrity and discretion.
